Percent of Time:   100%; 40 hours/week

Position Summary
Provide direct assistance to the Administrative & Finance Office Manager by overseeing all operations of the reception area. Respond to incoming calls as well as assisting faculty, staff, students and visitors. Perform maintenance on and provide user support for audio/visual equipment. Ensure security of the university's main point of entry. Provide support to the Director of Administrative & Auxiliary Services and others as needed.

Essential Functions/Accountabilities
  1. Provide courteous reception at the university's front desk, promote and project a positive impression of the institution; greet and direct visitors and AUS community members with an emphasis on helpful customer service.
  2. Ensure class and equipment requests are filled for the day. Receive, process and respond to new room and equipment requests. Maintain accurate log and calendar of equipment and scheduling information utilizing scheduling software. Maintain, update and post daily schedule of events and classes in scheduling software; ensure information is accurately displayed on screen in lobby. 
  3. Process calls efficiently, utilizing console telephone and voicemail. Maintain, publish and distribute master faculty and staff extension list. Provide assistance to faculty and staff new to the phone system. Receive incoming calls for other departments when they are unavailable including the President's Office. Maintain and secure long distance phone codes.
  4. Provide technical support for A/V equipment users. Develop maintenance schedule for equipment. Maintain assets inventory of A/V equipment. Conduct training sessions for new faculty and adjunct instructors.
  5. Retrieve, sort, distribute and maintain security of incoming mail and packages. Assist employees with preparation of outgoing packages.  Process outbound mail using proper postal codes. Track lost or undelivered packages. Maintain postage machine, download additional postage as needed. Update adjunct and administrative mailboxes quarterly or as changes occur.
  6. Assist AUS employees with use of Front Office business machines. Sort and distribute incoming faxes ensuring security of confidential information. Provide lamination services. Provide administrative support to the President's Office and Administration & Finance Department offices. 
  7. Manage the Front Office when the Administrative & Finance Office Manager is away.
  8. Maintain alertness with regard to incidents and events occurring in the building. Routes relevant information to appropriate personnel or department. Distribute quarterly adjunct parking passes, keep the visitor's parking log. Maintain, secure and sign-out building keys. Keep an accurate log of keys checked out to ensure building security.
  9. Train, supervise and direct work-study students.
  10. Other duties as assigned by the Administrative & Finance Office Manager.

Qualifications
  1. A.A. degree required; B.A. preferred (related experience may substitute).
  2. Two years relevant in an office environment; reception experience required.
  3. Ability to work a flexible 40-hour/week schedule based on academic calendar.
  4. Demonstrated strong customer service abilities.
  5. Demonstrated ability to handle multiple priorities and multiple tasks.
  6. Excellent written, verbal and interpersonal communication skills.
  7. Demonstrated ability to work as a member of a team within a diverse work environment.
  8. Experience operating and troubleshooting common A/V and computer equipment and software programs.
  9. Ability to maintain confidentiality of all personnel-related information, as well as restricted student data covered by FERPA guidelines and regulations.

Relationships
Internal: Works closely with staff, faculty, administrators and students.

External: Has contact with all visitors to the campus and all callers to the university reception desk. This includes the public, employees of other AU campuses, vendors, contractors, tenants and potential students.

Physical and Mental Demands
  1. Ability to lift up to 30 pounds.
  2. Ability to sit at a desk for long periods of time.
